Glorieta Adventure Camps is looking for someone with a strong work ethic and a desire to live and work in a close community to serve in the much-needed role of Conference Manager. COMMUNITY The makeup of our community determines a large part of what it is like to live and work here. We have approximately 120 people who live on-site year-round, consisting of full-time staff, staff families, and seasonal staff. Glorieta is a beautiful place with many natural resources but calls for a somewhat remote living.
Job Purpose (1) To fulfill our mission by directing all aspects of the Conference Program to make contracting, planning, the on-site experience, and follow up successful quantitatively and qualitatively for each group. (2) Gain, secure, and retain large & small churches, organizations, and groups from year to year. (3) Develop and maintain key relationships with pastors, group leaders, and decision-makers from large organizations. (4) Oversee the administration of paperwork for group organization, budgets, and quality control.
Job Duties
General:
Grow camper numbers each year in the Conference Program to reach maximum capacity and budgeted goals through phone, email, and in person sales and customer service Prayer for incoming guests and for God’s provision for new groups and program needs Maintain communication and relationships with group leaders through weekly emails/updates/devotions/prayer requests Monitor for quality of the Conference Program in all areas through consistent internal and external evaluation Research and develop new programming options including group development, activities, experiences, etc. alongside Program Managers for all programs Create and manage the calendar for the Conference Program and communicate with other departments as necessary Purchase necessary equipment and material for the success of the program Designate housing, activities, meals, staff, and various other assignments each week based on customer needs and preferences. Work alongside Marketing to develop and implement long term strategies Continually learn new ways to connect to changing generations and create environments and programs that meet the needs of all guests Be a valuable and contributing member of the Programs team. Keep organized information on groups for metrics and budget forecasting Oversee two Conference Assistants, five Summer Staff Leadership, and 36 Summer Staff
Summer Staff:
Partner with the Recruiting Team to recruit and attract Christ-like college age students and volunteers. Interview, hire, and manage summer staff and volunteers gaining insight into all aspects of their work Obtain and maintain necessary certifications to adequately and lawfully train summer staff Train summer staff in job responsibilities (group facilitating, low elements, customer service, CPP, etc.) and vision to meet Glorieta Camps’ mission as it relates to the Conference Program Assist with scheduling of staff based on programming needs, maintain communication with other programs and departments about staffing needs Develop and oversee an effective plan for discipling summer staff and volunteers Lead college age staff in carrying out the Glorieta mission while leading an exemplary personal life Create an environment of encouragement and accountability for summer staff Ensure the mid-season and end of season evaluations take place and remarks are typed out and distributed (both FOR summer staff and FROM summer staff) Make sure CPP is developed and followed through on by staff and volunteers Develop and implement strategies for maximum staff and volunteer retention
Conferences:
Write, send, negotiate, obtain, sign contracts Train summer staff in job responsibilities and vision for meeting Glorieta Camps’ mission within summer Conferences. Schedule summer staff based on programming needs, communicating with other programs/departments as necessary about staffing needs. Manage summer staff leadership - help with spiritual health, accountability and ideas for how to mentor and pour into the rest of summer staff. Managing the calendar for Conferences and communicating with other departments as necessary. Maintain communication and relationships with groups through emails, updates, devotions, prayer requests, face-to-face visits.
Admin:
Keep organized information on all for metrics and budget forecasting. Most information will be kept in CRM software, Salesforce Assist in registering guests through Glorieta Camps’ Online Registration Safety and compliance awareness and implementation Ensure that all registration, contracts, paperwork, and protocol are being kept up with and being handled in ways that honors the ministry and the business
Other Duties of All Glorieta Employees: Glorieta Camps operates year-round. We have guests on the premises almost every day of the year. Serving guests is our number one priority, and therefore ALL staff must participate in guest service in some capacity. Tasks may include cooking, cleaning, facilitating group activities, running retail locations, general maintenance of camp property, and work projects as needed. There are often groups here on weekends, and all staff members will be required to work on certain weekends as needed. Education, Abilities, Skills, Experience: The “ideal” candidate will have:
Strong sense of hospitality and customer service Bachelor’s in Business Management or similar degree is preferred Ability to work long hours through May, June, and July Ability to confront, encourage, hold accountable, and inspire staff towards excellence in all aspects of their work Easily communicate with guests of all ages and in all walks of life in a professional and engaging manner Highly functional in administrative and organization skills Passion for event planning, and 3 years of experience in this field is preferred An attitude that takes initiative, is a self-starter, and is constantly learning and striving towards growth Ability to dream and cast vision for the future while maintaining high quality in daily operation Ability to manage a variety of projects and teams simultaneously. Ability to lead and solve problems creatively within constraints. Have a deep understanding of each area under your management. Knowledge of CRM and specifically, SalesForce or strong willingness to learn. Comfortable and adaptive in a rapidly changing environment. Ability to lead a team of various personalities and guide them toward success. Ability to present to and train staff members. Confident, dynamic, positive, and driven. Ability to communicate with staff and guests during crisis situations in a clear, compassionate, concise, constant, and calm manner. Ability to seek professional growth and seek constructive criticism Ability to speak in front of large and small groups, comfortably.
Work Context This job will be performed primarily on location at Glorieta Camps.
Travel: Infrequent travel needed for job-related duties of recruiting and sales.
Physical Demands: Ability to sit and focus on a singular task for several hours at a time. Ability to walk for long distances across varying terrain. Some lifting of heavy objects will likely be required.
Work Environment The position will usually work inside in an office environment but frequent outside work will be required.
