Host Coordinator
PURPOSE STATEMENT: The purpose of the Host Coordinator is to work as an advocate for both guests and staff in order to maximize the experience of the guest and the effectiveness of Tejas as a ministry. This individual will serve as a vital member of our staff team, Team Two:Three. Putting others’ needs before our own, both in our relationships within the team and in accommodating our guests, striving to always count others as more significant than ourselves in accordance with Philippians 2:3 “Do nothing from selfish ambition or conceit, but in humility count others more significant than yourselves.”
POSITION DESCRIPTION: This position coordinates details of our guests coming to Tejas and relays information to the different departments so they can be ready and prepared to welcome our guests. This person will serve alongside the Tejas team in fulfilling the Tejas mission of setting the stage for Jesus to transform lives. RESPONSIBILITIES: Guest Services & Hospitality Responsibilities Provide a high degree of welcoming, detail-oriented service to guests and staff Serving as point of contact for both planned and last-minute guest needs Anticipate and recognize guest needs and act on them accordingly Communicate with group leaders prior to arrival and during events, assisting with questions, planning and other information regarding their stay. Provide timely and professional follow-up communication for guests contacting the ministry, including answering phone and responding accordingly Maintain a mastery-level understanding of all necessary software programs that are used as part of our guests service experience: CampBrain, JotForm, Grasshopper, Google Drive, Checkfront, Constant Contact, etc. Collaborate with the Booking Coordinator for weekly guest group leader hand-off, simple rebookings, paperwork and invoicing as needed Verify payments have been sent in according to their contract and communicate effectively with leaders Act as weekend team leader for the hosts and with all departments and guests needs Serve with other Hosts as secondary group contact for each guest group, resolve any host scheduling conflict and/or cover host shifts if they aren’t able to perform their required duties or provide a break to host during long stretches of hosting Support the Host by working alongside of them Assist in the preparation of facilities to ensure all conference rooms and accommodations have been properly prepared Assist in the teardown and shutdown of facilities after groups leave Assist all other departments as needed
Training & Oversight Responsibilities May obtain/maintain Site Specific Challenge Course certification in order to assist in operating our adventure elements for guests, potentially including Lifeguard and First Aid certifications
QUALIFICATIONS: Bachelor’s degree, or equivalent industry experience Previous camp experience preferred Flexibility and the ability to respond in grace when unforeseen situations require your assistance Ability to maintain relationships with all guests and staff A thorough knowledge and effective involvement in ministry A desire to grow spiritually and professionally An understanding of hospitality and guest experience A key eye for detail
WORKING CONDITIONS: This is a full-time, benefit eligible position. We believe this position is more than a job, it is a ministry opportunity. Working hours may vary as necessary to accomplish the responsibilities of the ministry and off time will be adjusted accordingly.
