Retreat & Volunteer Coordinator

The Retreat & Volunteer Coordinator will oversee and manage all Ironwood Springs’ retreats and volunteer programs. This role involves coordinating retreat schedules, recruiting and managing volunteers, and ensuring that retreats are executed effectively. This position will also play a key role in developing and implementing the organization’s volunteer management system, which will enhance volunteer engagement and retention. Additionally, the Retreat & Volunteer Coordinator will support the development of updated online resources, orientations, and training materials for volunteers, and ensure that retreat inquiries are responded to promptly and professionally.

This position requires a strong Christian faith and commitment to living out that faith in both personal and professional life, with a clear alignment to Ironwood Springs' statement of faith and mission.

Essential Functions and Basic Duties:

Retreat Management:

- Oversee the planning, execution, and evaluation of all retreat programs at Ironwood Springs.

- Work with the Executive Director to schedule retreats and coordinate with other departments (e.g., Program Coordinator, Kitchen, Hospitality, Equine).

- Act as the main point of contact for retreat inquiries and ensure timely and professional responses to all communications.

- Ensure facilities and resources are ready for retreats and manage related logistics.

- Collaborate with retreat teams and other staff to ensure retreats run smoothly, effectively, and with excellence.

- Host groups when on site ensuring all their needs are met.

Volunteer Program Management:

- Develop and manage Ironwood Springs' volunteer program using Volgistics software, ensuring smooth operations for volunteer tracking, scheduling, and communication.

- Recruit, train, and onboard volunteers to ensure they are equipped for their roles and passionate about the mission of Ironwood Springs.

- Foster an environment of engagement by creating volunteer orientations and training materials, both online and in-person.

- Communicate regularly with volunteers to ensure their needs are met and that they feel supported.

- Plan and execute volunteer appreciation events and activities to strengthen relationships within the team.

Retreat and Volunteer Marketing and Communications:

- Update online resources, training materials, and retreat-specific content to ensure they are relevant, current, and engaging.

- Maintain consistent communication with retreat participants and volunteers through email, phone calls, and online portals.

- Help develop promotional materials and social media content to enhance the visibility and impact of retreats and volunteer opportunities.

General Administrative Support:

- Answer phones and assist on-site guests.

- Maintain accurate records of retreat bookings, volunteer hours, and other related documents.

Secondary Skills:

- Strong interpersonal and relational skills with the ability to connect and build relationships based on trust and understanding.

- Technology proficiency, including word processing, social media management, and the ability to perform basic updates on websites and digital platforms.

- Basic graphic design skills, either directly or through collaboration, to support marketing and communication efforts.

- Audio/Visual: familiar with basic A/V equipment to assist in guest usage or needs

- Able to lift a minimum of 25 lbs.

- A college degree is desirable but not required; a heart for ministry and a willingness to grow in knowledge and experience are paramount.
